Three Quotes Should Never Produce Three Different System Sizes

Why would three contractors walk the same 1,780 square foot Caldwell house and hand back three different system sizes? That question follows almost every hvac installation caldwell id bid a homeowner carries in for a second opinion. One couple replacing a 22-year-old furnace and air conditioner, the first replacement they had ever bought, collected quotes of $7,400, $9,600 and $12,900. Not one of the three measured a room. The argument here is blunt: a quote is only defensible when the system size behind it came out of a real evaluation of load, ductwork and airflow, with the price following the sizing instead of leading it.

Three Bids Disagreeing Means Nobody Measured

Three qualified companies looking at identical square footage, identical windows and identical insulation should land within about half a ton of each other. When they do not, the spread is a measurement gap rather than a difference of professional opinion. The bid we see most often just copies the nameplate off the old equipment and adds a little capacity for safety, which is how a house ends up with a four-ton system it never needed. Equipment rules keep moving underneath all of this. A January 2026 explainer on what the newer HVAC standards mean for a home points to higher efficiency requirements alongside stricter emissions metrics and refrigerant phase-outs, all of it pushing equipment to produce more output while consuming less energy. Bolting that equipment to the wrong load throws the gain away.

Where A Load Calculation Actually Comes From

A load calculation is arithmetic, and arithmetic needs inputs. Room dimensions and ceiling heights, measured rather than estimated from a tax record. Window area, glass type and the direction each window faces, because west-facing glass in a Treasure Valley July behaves nothing like north-facing glass in the same wall. Insulation values, how tight the envelope is, and whether duct runs pass through unconditioned space. A technician who spends 40 minutes in the house with a tape measure is not padding the appointment; that is the job. The output is a heating and cooling number in BTUs per hour, room by room, and it either supports the equipment on the proposal or it does not. What nobody can really tell you is how much of the quality gap between a careful calculation and a rushed one comes from the software versus the person typing the numbers into it, and I have never seen an honest study that separates the two.

Bigger Equipment Makes Comfort Worse Not Better

Oversized equipment satisfies the thermostat quickly, shuts down, then repeats that cycle all afternoon. Short cycles pull very little moisture out of the air, so the house reads 74 degrees and still feels sticky, while the compressor absorbs the wear of constant starting. If a contractor proposes more tonnage than your old system and cannot point to a measurement that justifies it, treat the extra capacity as a guess. If that extra capacity arrives with a room-by-room load sheet showing exactly where the old system fell short, you are having a different conversation. Anyone quoting hvac installation Caldwell ID homeowners will live with for the next two decades should be able to explain the size in one sentence.

Ask These Questions Before You Sign

Bids become comparable the moment every company answers the same questions. Ask on the phone before the visit, then ask again when the estimate lands in your inbox. A company doing this work properly answers without hedging, and a company that is guessing will steer you toward brand names and financing terms instead.

    • Will you run a room-by-room load calculation, and can I see the printout? A good answer names the software and includes a copy with the proposal.
    • How did you arrive at this system size? A good answer cites measured square footage, window area and insulation levels, never the size of the old unit.
    • Did you test the existing ductwork for static pressure and leakage? A good answer gives a number in inches of water column and says what that number should be.
    • What happens if the new system cannot hold the upstairs bedrooms in August? A good answer describes a specific remedy and states who pays for it.

Ductwork Decides What New Equipment Delivers

New equipment inherits whatever duct system it is bolted to. Undersized returns, a crushed flex run in the crawlspace, leaky joints baking in an unconditioned attic: any one of them caps what a high-efficiency unit can actually push into the rooms. A three-ton condenser breathing through ducts built for two tons will run long, run hot and never post the efficiency printed on the box. That is why a genuine pre-installation evaluation studies ductwork and airflow before anyone opens an equipment catalog, and why the highest bid on that 1,780 square foot house was the only one including duct repairs. The cheapest number is not automatically the answer, and neither is the biggest.

Buy The Assessment Before The Equipment

Treat the evaluation as the thing you are actually shopping for. Equipment has become largely commodity at this price point, and the difference between a system that runs quietly for 18 years and one that irritates you for eight is sizing, duct correction and installation care. When the quotes came back at $7,400 and $12,900 on that Caldwell house, the couple did not need a fourth proposal; they needed one company willing to measure. The tape measure settles the argument that three bids could not. Hire the contractor who shows up carrying one.
